Privacy Policy

Paradyme Ltd. ("Paradyme", "our", "we" or "us") offers to its customers (each, a "Customer") an online Software-as-a-Service platform which is intended to assist Customers to manage their legal affairs, detect and remediate legal exposure, and seamlessly collaborate with its internal and external legal teams (the "Solution"). In addition, our websites located at https://www.paradyme.ai/ (the "Website") offer visitors to the Websites ("Visitors"), information on our company, technology and information concerning our Solution, as well as demos and trials of our Solution (if such are made available) and additional information and content we may make available through our Website. The Website together with the Solution and related services, except if specifically designated otherwise, shall be referred to herein as the "Services".

Paradyme respects the privacy of its customers and the users of the Services ("User", "You" or "Your"). Users include: (I) first user of the Solution that identifies itself as associated with Customer ("Customer's Admin"), (II) end-users invited by Customer and/or by Customer Admin (namely employees and any other Customer personnel or its external legal team) who use or access the Services under Customer's account (the "End User(s)"), (III) and Visitors. This Privacy Policy (the "Privacy Policy") is intended to describe our practices regarding the information we may collect from you when you use or access our Services, the ways in which we may use such information, and the choices and rights available to you.

This Privacy Policy supplements and shall be read in conjunction with our Terms of Use and our Cookie Policy, and may be supplemented by additional privacy statements, terms or notices provided to you. Capitalized terms that are not defined herein, shall have the meaning ascribed to them in our Terms of Use.

1. Your Consent

PLEASE READ THIS PRIVACY POLICY BEFORE ACCESSING AND/OR USING THE SERVICES. BY ACCESSING OR USING THE SERVICES, YOU AGREE TO THE TERMS AND CONDITIONS SET FORTH IN THIS PRIVACY POLICY, INCLUDING TO THE COLLECTION AND PROCESSING OF YOUR PERSONAL INFORMATION (AS DEFINED BELOW). IF YOU DISAGREE TO ANY TERM PROVIDED HEREIN, YOU MAY NOT ACCESS OR USE THE SOLUTION AND/OR THE WEBSITES.

Please note: you are not obligated by law to provide us with any Personal Information. You hereby acknowledge and agree that you are providing us with Personal Information as described in this Privacy Policy at your own free will. You hereby agree that we may collect and use such Personal Information pursuant to this Privacy Policy and any applicable laws and regulations.

TO THE EXTENT THAT YOU PROVIDE US WITH ANY PERSONAL INFORMATION RELATED TO ANY THIRD PARTY OR ANY OTHER PERSON OR ENTITY WHICH IS NOT YOU, YOU ARE SOLELY RESPONSIBLE TO RECEIVE AND HEREBY REPRESENT THAT YOU HAVE AND UNDERTAKE THAT YOU SHALL HAVE AT ALL TIMES, MAINTAINED AND RECEIVED, THE CONSENT, AUTHORITY, PERMISSION AND APPROVAL OF SUCH PERSONS AND THAT YOU HAVE PROVIDED THEM WITH SUFFICIENT DISCLOSURES, TO ALLOW PARADYME TO ACCESS, STORE, COLLECT, ANALYZE AND PROCESS SUCH PERSONAL INFORMATION AS DETAILED HEREIN.

2. Scope and Applicability

This Privacy Policy applies only to the information we collect in connection with your use of the Services.

3. What Types of Information Do We Collect?

We divide the information we access and collect into two categories: Personal Information and Non-Personal Information. In this section, we describe each of the two categories of information which we may collect, and the applicable circumstances under which such collection is performed.

  • Non-Personal Information: "Non-Personal Information" is information which may be made available to us, or collected automatically via your use of the Services, that does not enable us to identify the person from whom it was collected, and does not enable us to identify to whom such data pertains. Non-Personal Information usually consists of technical and aggregated usage information which is not linked to a specific individual.
  • Personal Information: "Personal Information" is information that pertains or relates to a specific individual, where such individual is identified or may be identified with reasonable efforts or together with additional information, we have access to. Identification of an individual also includes the association of such an individual with a persistent identifier such as a name, an identification number, persistent cookie identifier, etc. Personal Information does not include information that has been anonymized or aggregated, provided that such information can no longer be used to identify a specific natural person.

We collect Personal Information from you and any devices (including mobile devices) you use when you: use or access our Services, register for an account with us, provide us information on a web form or other text field, update or add information to your account, request and receive a demo session, register for a free trial of the Solution, or otherwise upload any files or other material that includes personal information to the Solution, or through correspondence you and we conduct with each other through any channel of communication.

More specifically we collect and use the following categories and types of Personal Information:

A. Information You Provide Actively

This includes information you actively and voluntarily provide when you:

  • Register for an account: full name, work email address, job title, company name, and any other details entered through our registration forms.
  • Use the Solution: legal documents, contracts, and any other content you upload or submit through the Services.
  • Communicate with us: contents of your correspondence with our support team, including any text, audio, or video recordings where applicable.
  • Request a Demo or Trial: contact information and company information submitted via our demo request or trial registration forms.

B. Information We Collect Automatically

When you access or use the Services, we automatically collect:

  • Technical information: device type, operating system, browser type, screen size, and device identifiers.
  • Usage information: clickstream data, page visits, event and log data, session duration, and feature engagement patterns.
  • Network information: IP address, HTTP referral data, and approximate geographic location derived from IP.
  • Platform activity: information about how you interact with documents, matters, and collaboration features within the Platform.

This automatic collection is performed through cookies, web beacons, and similar technologies, as further described in Section 9 below.

C. Information from Third Parties

We may receive Personal Information about you from third parties in limited circumstances, such as when a colleague refers to you through the Solution or when you use social login to authenticate your sign in to the Solution. We collect such information only to the extent permitted by applicable law and your consent.

Please Note: The Platform is designed to process legal documents and contracts uploaded by you or by any other Users of a Customer under a specific Account. Such documents may contain Personal Information relating to third parties (e.g., counterparties, employees, clients). You are solely responsible for ensuring that you have the legal authority and all necessary rights, consents, and waivers required to upload and process such documents through the Solution.

For avoidance of doubt, any Non-Personal Information connected or linked to any Personal Information shall be deemed as Personal Information as long as such connection or linkage exists. We do not collect any Personal Information from you or related to you without your approval, which is obtained through various means, including through your acceptance of this Privacy Policy.

4. Why Do We Collect and Process Your Information?

We may use information that we collect and receive about you for the following purposes:

  • To power document analysis, obligation extraction, risk scoring, matter management, and collaboration features within the Platform.
  • To provide, operate and improve our Services and related offers and to manage our business.
  • To provide our Users with a better user experience, more fitted to their specific needs.
  • To be able to contact Users who requested such contact, for the purpose of providing them with further information on Paradyme and its Services.
  • To prevent, detect, mitigate, and investigate fraud, security breaches or other potentially prohibited or illegal activities, whether suspected or actual.
  • To comply with any applicable rule or regulation and/or respond or defend against legal proceedings versus us or our affiliates.
  • To send Users our newsletters and information in connection with the Services, where Users registered to receive such messages or have otherwise provided us with their consent, or to provide important notices with respect to Services to which Users have registered.
  • To market our Services to Users or potential Users (including via our marketing service providers), and to track and evaluate our marketing activities and their results.
  • To act upon and comply with requests you may make pursuant to this Privacy Policy and the privacy laws that apply to you.
  • To perform functions or services as otherwise described to you at the time of collection.

5. What Are Our Legal Grounds for Collecting Your Personal Information?

  • With your consent: We ask for your agreement to process your information for the specific purposes stated herein and you have the right to withdraw your consent at any time.
  • In the scope of providing the Services: We collect and process your Personal Information in order to provide you with the Services which are tailored to your needs and requirements.
  • Legitimate interests: We process your information for our legitimate interests while applying appropriate safeguards that protect your privacy. This means that we process your information for purposes like detecting, preventing or otherwise addressing fraud, abuse, security, usability, functionality or technical issues with our Services; protecting against harm to the rights, property or safety of our Services, our Users or the public as required or permitted by law; enforcing legal claims, including investigation of potential violations of this Privacy Policy; and in order to comply with and/or fulfil our obligations under applicable laws, regulation, guidelines, industry standards and contractual requirements, legal process, subpoena or governmental request.

6. Who Do We Share Your Information With and Why?

We keep the information processed by us in strict confidence and we may only share information with third parties (or otherwise allow them access to it) in very limited circumstances and for very specific purposes, as described below:

  • Internally: We may share information with our family of companies, as well as our personnel, for the purposes described in this Privacy Policy. In addition, should Paradyme or any of its affiliates undergo any change in control, including by means of merger, acquisition or purchase of substantially all of its assets, your information may be shared with the parties involved in such event under strict security conditions. If we believe that such change in control might materially affect your Personal Information then stored with us, we will notify you of this event and the choices you may have, either through a prominent notice on our Services or by contacting you directly.
  • Protecting Rights and Safety: We may share your information to enforce this Privacy Policy and/or the Terms of Use or any other agreement between Paradyme and you, including investigation of potential violations thereof; to detect, prevent, or otherwise address fraud, security or technical issues; or otherwise, if we believe in good faith that this will help protect the rights, property or personal safety of any of our users, or any member of the general public.
  • Third Parties & Business Partners: We partner with certain third parties to provide selected services that are used to facilitate and enhance the Services ("Service Providers"). Such Service Providers may have access to, or process on our behalf, personal information which we collect, hold, use, analyze, process and/or manage. These Service Providers include among others, hosting, database, data analytics, and professional legal services providers. These providers may access or process Personal Information on our behalf and are contractually bound to protect it and use it only for the purposes we specify. We maintain an updated list of our sub-processors, available upon request at privacy@paradyme.ai.
  • Law Enforcement: We will not share any of your legal material or legal analysis with any government or law enforcement agency, except pursuant to a binding court order. We may only disclose personal information that is related to your usage of the Solution or to your Account administration, to government or law enforcement officials if and as we believe necessary or appropriate to respond to claims and legal process (including but not limited to subpoenas), to protect our or a third party's property and legal rights, or to protect the safety of the public or any person.

7. Where Do We Store and Transfer Your Information?

Personal Information collected by Paradyme may be maintained, processed, and stored in Israel, the European Union, and the United States, by Paradyme and our authorized affiliates and service providers.

We are aware that data protection laws in these jurisdictions may differ from those in your country of residence. We, our affiliates, and our service providers are committed to protecting your Personal Information in accordance with this Privacy Policy and applicable legal standards. Specifically:

  • Service providers storing or processing your Personal Information in the EU or from outside the EU will do so pursuant to appropriate safeguards, including EU Standard Contractual Clauses (SCCs) or adequacy decisions issued by the European Commission.
  • Transfers to the United States will be subject to appropriate legal mechanisms as required under applicable law, including SCCs where applicable.
  • Processing in Israel is subject to the Israeli Privacy Protection Law, 5741-1981, and regulations thereunder.

By using the Services and providing your information, you expressly consent to the transfer and storage of your Personal Information in the locations described above.

8. What Are My Rights?

Depending on your jurisdiction, you may have the following rights with respect to your Personal Information. To exercise any of these rights, please contact us using the details in Section 15 below.

  • Right of access: you may request information about the Personal Information we hold about you and, in some cases, receive a copy of it.
  • Right to rectification: you may request correction of inaccurate or incomplete Personal Information we hold about you.
  • Right to erasure: in certain circumstances, you may request deletion or anonymization of your Personal Information, subject to applicable legal retention obligations.
  • Right to data portability: in certain circumstances, you may request that we provide your Personal Information in a structured, machine-readable format.
  • Right to object or restrict processing: in certain circumstances, you may object to or request restriction of our processing of your Personal Information.
  • Right to withdraw consent: where processing is based on your consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

Israeli residents: Your rights under the Israeli Privacy Protection Law, 5741-1981, apply to all Personal Information processed by Paradyme in Israel.

EU/EEA residents: If you are located in the EU or EEA, the rights described above apply under the GDPR. You also have the right to lodge a complaint with your local supervisory authority.

9. Do You Use Cookies or Similar Tracking Technologies?

When you access or use the Services, Paradyme may use standard tracking technologies such as cookies, web beacons, pixel tags, and similar tools that store certain information on your device ("Local Storage"). These technologies allow us to:

  • provide and maintain the functionality of the Services;
  • keep track of authenticated sessions and user preferences;
  • detect abnormal behaviors and enhance the security of the Website;
  • identify technical issues and improve overall performance of the Services;
  • analyze usage patterns and improve user experience.

Paradyme currently does not use third-party advertising or retargeting cookies (e.g., Google Ads, Meta, LinkedIn Ads). If this changes in the future, we will update this Privacy Policy and seek your consent where required by applicable law.

You may configure your browser to block or delete cookies. Please note that doing so may affect your ability to access certain features of the Services. Paradyme does not respond to "Do Not Track" browser signals, as no universally accepted standard for such signals currently exists.

10. How Do We Keep Your Information Secure?

Paradyme takes the security of your Personal Information seriously. We implement administrative, technical, and physical safeguards designed to protect against unauthorized access, disclosure, alteration, or destruction of your information. These measures include:

  • encryption of data in transit and at rest;
  • access controls limiting information access to authorized personnel on a strict need-to-know basis;
  • regular security assessments and vulnerability testing.

Despite these measures, no security system is impenetrable and Paradyme cannot guarantee absolute security. If you have questions or concerns about the security of your information, please contact us at security@paradyme.ai.

11. How Long Will You Retain My Information?

We retain your Personal Information only for as long as necessary to fulfill the purposes described in this Privacy Policy, including to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods are determined based on the type and sensitivity of the information and applicable legal requirements.

Upon termination or expiration of your Paradyme Account or subscription, Paradyme will return or permanently destroy your Customer Data in accordance with Section 4.3 of the Terms of Use and applicable law, unless a longer retention period is required by law. If you withdraw your consent, we will delete or anonymize your Personal Information, except to the extent retention is necessary to comply with applicable legal obligations or defend against legal claims.

12. How Do We Protect the Privacy of Children?

The Services are intended for companies and professionals who are at least eighteen (18) years of age. We do not knowingly collect Personal Information from individuals under the age of eighteen (18). If you believe we have inadvertently collected information from a minor, please contact us immediately at privacy@paradyme.ai, and we will take prompt steps to delete such information.

13. How Do We Handle Information of Job Candidates?

Qualified candidates are welcome to apply for open positions at Paradyme by submitting contact details and a CV or resume ("Candidate Information"). Candidate Information is treated as strictly confidential and used solely for Paradyme's internal recruitment purposes, including evaluating applications, making hiring decisions, and contacting candidates. We may retain Candidate Information after a position has been filled in order to consider candidates for future opportunities. If a candidate is hired, Candidate Information may be used for employment-related purposes.

14. Updates to This Privacy Policy

Paradyme may update this Privacy Policy from time to time at its sole discretion. The most current version will always be available at paradyme.ai/privacy. We will notify you of material changes via a prominent notice on the Website or by email to the address associated with your account. Material changes will take effect seven (7) days after such notice is provided. Your continued use of the Services after the effective date of any change constitutes your acceptance of the revised Privacy Policy.
